Frequently asked questions

How do I request the right to supervise a PhD candidate ?

Supervision rights (“autorisation à diriger des recherches”) are granted by a Faculty of the University. The application and evaluation procedure is laid out in Chapter 5, section 2 of the University’s internal regulations (Règlement d’ordre intérieur).

Candidates should familiarize themselves with the relevant provisions and fill out the application form.

What are the admission rules? How do I submit a candidate application for admission?

Once you have identified a candidate and funding is secured, as supervisor you must submit an acceptance application for a doctoral researcher/PhD student. You may receive this document by contacting the Bureau des études doctorales.

Note that all candidates should be affiliated with a doctoral school.

How does my candidate enrol?

What are the rules and monitoring procedures for candidate progression? Who is involved and how often do they meet?

Candidate progression is monitored by the dissertation supervisory committee "Comité d’encadrement de thèse", commonly known as the CET. The CET must be established shortly after your candidate’s arrival. The CET meets at least once a year to assess the progress of candidate’s work.

The CET is composed of 3 membres: the supervisor, a University of Luxembourg member and another member who can be from or outside the University of Luxembourg. To nominate the CET committee, please contact the doctoral school/Faculty to which your candidate is affiliated, who will officially nominate the committee. What administrative steps are required to hold a defence?

The Règlement d’ordre intérieur (internal regulations, known as ROI) lays out the steps to authorise and hold a defence (PDF)—English language translation is provided as a courtesy. Please note that the legally binding version of the ROI is the French language version.

How do I set up joint supervision arrangements with partner universities?

The International Relations Office (IRO) within the University takes care of negotiating agreements for joint supervision of thesis with partner universities once a first draft has been established by the doctoral candidate and his or her supervisors. The IRO also takes care of the internal approval and signature process of these contracts. The key contact in the IRO for this matter is Stephanie Notarnicola.
