Pursuant to articles 12, 13 and 14 of Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter GDPR), this information sheet specifies how the University of Luxembourg (hereinafter UL), as controller, collects and processes your personal data for the purpose of (i) assessing user satisfaction with respect to the documents and services on offer at the Luxembourg Learning Centre (hereinafter LLC) and (ii) getting better acquainted with the public’s expectations with respect to same.

1. Processing

Purpose

Purpose of the processing of personal data is to assess user satisfaction with respect to the documents and services on offer at the LLC and getting better acquainted with the expectations, with respect to same, of UL’s students and academic and administrative staff as well as of external users enrolled with LLC.

Legal basis

We are processing your personal data in pursuance of our legitimate interest in offering our users higher quality services in accordance with article 6(1)(f) GDPR.

2. Data processed

Categories of personal data concerned

  • E-mail address (optional, only if respondent intends to take part in the prize draw organized to thank respondents);
  • IP address;
  • age;
  • study or research discipline;
  • user category.

Source of data

The information is collected directly from the persons taking part in the survey.

Optional data transfer

Participation in the survey is optional.

Automated decision-making

The processing of data does not provide for any automated decision-making.

3. Recipients of personal data

Processor of the processed data is the Association of Research Libraries, USA (hereinafter ARL) which is making its survey available on its LibQUAL+ application.

Categories of recipients

Internal recipients:

  • LLC (UL) ;
  • Office of Statistics and Institutional Research (UL).

External recipients:

  • ARL.

Transfer outside the EU

The survey is being conducted by the Association of Research Libraries (USA) through its LibQUAL+ service, whose servers are hosted outside the EU in the USA.

The transfer of personal data outside the EU is being carried out in accordance with GDPR Chapter V. Such transfer of personal data outside the EEA is governed by standard contractual clauses in accordance with ARL’s data importer activities in the USA. UL is exporter of the personal data.

4. Period for which the data will be stored

E-mail and IP addresses will be stored for a period of 6 month following the end of the survey.

Answers that do not allow identification of respondents will be stored after the end of the survey in order to measure the evolution of UL student and academic and administrative staff satisfaction as well as LLC external user satisfaction over time.

5. Your rights regarding data relating to you

You have a right of access to, a right to obtain a copy, a right to object to processing and a right to rectification and to erasure of data relating to you. Furthermore, you have a right to restriction of processing of your data.

All requests pertaining to your rights with regard to their processing in this context must be addressed to UL’s Data Protection Officer (DPO).

Should you believe that the processing of personal data relating to you infringes the GDPR, you may lodge a complaint with a supervisory authority in the Member State of your habitual residence, of your place of work or of the place of the alleged infringement, without prejudice to any other administrative or judicial remedy.

In Luxembourg, the competent supervisory authority is the Commission nationale pour la protection des données (CNPD).
